Business and Education Council - Yearly Edit

Please be reminded that the Kiamichi Tech BEC listings are scheduled to be presented to the Board of Education on September 10, 2024.

The deadline for submission of this list is no later than close of business on FRIDAY, MAY 24, 2024.

Responsibilities

As Campus Director, you are responsible for reviewing all information submitted by your instructors very carefully before forwarding it to the District Administration office for approval by the board. Ensure you thoroughly check for typographical errors and verify the correctness of all program names. Additionally, it is crucial to update any changes concerning instructors or staff that may have occurred since the previous year.

Document Access

All documents will be stored in OneDrive, with access granted to all Kiamichi Tech employees. It is at your discretion to share these documents with your campus staff, enabling them to contribute directly, or to choose not to share and enter the data yourself to ensure centralized control.

BEC Spreadsheet Revision Instructions

Follow these steps to update the BEC spreadsheet with necessary revisions:

  1. Accessing the Spreadsheet:

    • Click the link provided above to open the BEC folder. Within this folder, you will find a separate folder for each campus.

    • Navigate to your campus's folder and open the spreadsheet found inside.

  1. Editing the Spreadsheet:

    • Locate the program you wish to edit within the spreadsheet.

  2. For Additions:

    • Insert a new row at the appropriate location to maintain alphabetical order. To do this in a live Excel spreadsheet, right-click on the row number where you want the new row to appear, then select "Insert" from the context menu.

    • Enter the details of the new BEC member in the newly inserted row.

    • Fill the new entry in blue to indicate it is an addition.

If you are updating an existing contact fill the new entry in blue.

  1. For Removals:

    • Select the row containing the member you wish to remove.

    • Use the 'Strikethrough' formatting option to mark the entire row. This can be done by selecting the row, right-clicking, and then choosing 'Format Cells.' Under the 'Font' tab, check 'Strikethrough.'

 

 

  1. Submission Guidelines:

    • Ensure that all updates adhere to the proper formatting guidelines. Lists not submitted in the correct format will be returned for correction.

  2. Deferred Updates:

    • If revisions to the parent and student committee member listing are currently unavailable, note that they may be updated in August.

  3. Inclusion of Student Representatives:

    • Make sure to include the student ACES representatives on the BEC spreadsheet.

  4. Schedule Fall Meeting Dates:

    • In your campus spreadsheet, navigate to the tab labeled 'Fall Meeting Dates.'

    • Please enter the dates for your upcoming meetings in this tab.

    • List them in alphabetically by Program.

  5. Final Verification:

    • Once all your information is correct, please access the BEC Checklist here.

    • Open the live sheet linked within the checklist.

    • Mark all programs that have been updated to confirm completion.

 

 

Rules for BEC Rosters

  • Ensure that each individual listed has been personally contacted by the instructor and has agreed to serve as a member of their Business and Education Council.

  • Include only individuals who are willing to take an active role as a member of the Business and Education Council.

  • No persons related to the council sponsor.

  • No deceased individuals.

  • No full-time Kiamichi Tech employees or board members. However, there may be a short-term instructor or a substitute that would be beneficial for you to have on your council. These individuals may be on your council provided they are currently working in their field or representing a business.

  • No duplicates (an individual can’t be on two committees on the same campus).

  • The Individual Program List must include each council member, place of employment, job title, address, email address, and phone number in alphabetical order by last name. Two committee meeting dates must be listed in alphabetical order by program name.

  • Council member must still be living in your area.

  • Career Connection Center, Guidance, and Math/Science may be combined and have one (1) Business and Education Council (Pre-Engineering and/or Bio-Med Programs will have their own committee). Administration, PACE, and WED may combine their councils if they wish to do so.

  • Ensure that each instructor follows up by sending out a letter of congratulations to each member of their Business and Education Council after the board has approved the lists in September.

  • Council must contain a minimum of five and a maximum of twelve members.

  • KIAMICHI TECH requires one student and one parent for programs that teach approved career majors.

Additional Notes

Enter a fall and spring date complete with the time of the meeting on the corresponding tab.

NOTE: It is imperative that there are absolutely no BEC meetings held by any instructor until after the September 10, 2024 board meeting. If you have questions, please contact Johnna Smith.

After the Meetings

After conducting your Business and Education Council (BEC) meetings, please follow these steps to ensure all necessary documentation is properly managed:

  1. Upload Documents:

    • Upload all necessary files to your designated campus folder. This includes minutes, attendance sheets, and any other relevant documentation from the BEC meetings.

  2. Update BEC Checklist:

    • Access the BEC Checklist here once all files have been uploaded.

    • Mark the checklist to confirm that each program’s BEC files have been successfully uploaded.
