Registrar Graduation Report (In Progress - DO NOT USE)
Step 1: Access SAS Graduate Tracking
Log into SAS:
Open your browser and navigate to the SAS login page.
Enter your credentials to log in.
Navigate to Graduate Tracking:
Locate the 'Instructor Menu'.
Select 'Graduate Tracking' from the menu options.
Step 2: Prepare the Report
Set Report Filters:
Ensure "Period", "Sub-Period", and "Instructor" are set to "Show All".
Set “Graduating Flag” to "All Students".
Export the Report:
Click “Export Results” to trigger an automatic download of an Excel file.
Step 3: Edit the Report
Verify Student Information:
Double Check the Student Address:
Confirm the accuracy of each student’s address before running the report.
If an address is not accurate. Update it in SAS and re-run the report.
Clean Up the Data:
Remove all non-graduate or distinguished students from column 'A'. Non-graduates completing the program should be documented on the Student Completion Form, available from the Registrar Team.
Update Graduate Status:
Insert a new column before column 'A' to indicate if a student is distinguished, according to the completer/graduate policy.
Confirm Graduates and Distinguished Students:
Double check that all students who are graduating and distinguished are correctly listed.
Step 4: Distribute the Report
Send the Report:
Email the finalized report to Melyssa Lynch at mlynch@ktc.edu for further processing.
Certificate Disbursement:
All Graduate and Distinguished Graduate certificates will be returned to the local campus for distribution.
The local campus is responsible for creating and sending the Certificate of Completion.
Special Cases for Certificate Issuance:
If a student requires a certificate to take a test, issue a Certificate of Completion on a case-by-case basis. Inform the student that they will receive their official graduation certificate in June.
